Job Title: Recruiting Assistant (Mid-Level)

Job Summary

We are seeking a dependable and experienced Recruiting Assistant (Mid-Level) to support end-to-end recruitment activities and ensure the smooth operation of hiring workflows. This role will assist recruiters and hiring managers by coordinating interviews, managing candidate communication, and maintaining accurate records. The ideal candidate has hands-on experience in recruitment coordination, excellent organizational skills, and a proactive approach to supporting multiple recruitment campaigns simultaneously.

Key Responsibilities

  • Coordinate scheduling of interviews, assessments, and candidate meetings across departments.

  • Review resumes and shortlist candidates based on predefined criteria for junior and operational roles.

  • Serve as a point of contact for candidates, ensuring timely updates and a professional recruitment experience.

  • Maintain accurate candidate data in the Applicant Tracking System (ATS) and ensure process documentation.

  • Draft and send offer letters and onboarding checklists in coordination with HR operations.

  • Track recruitment metrics such as open positions, time-to-hire, and candidate feedback.

  • Liaise with recruitment agencies and job portals for job postings and candidate sourcing.

  • Support employer branding efforts by assisting in job fairs, career events, and social media promotion.

  • Ensure adherence to hiring policies and confidentiality of recruitment data.

Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field

  • 2–4 years of experience in recruitment support or HR coordination

  • Familiarity with Applicant Tracking Systems (e.g., Zoho Recruit, Workable, SAP SuccessFactors)

  • Proficient in Microsoft Office (Excel, Word, Outlook)

  • Strong time management and multitasking skills

  • Excellent interpersonal and communication skills

  • Ability to handle confidential information with discretion

  • Knowledge of UAE/GCC hiring processes is a plus
