Job Title: Onboarding Specialist (Mid-Level)

Job Summary

We are seeking a highly organized and people-focused Onboarding Specialist (Mid-Level) to lead and enhance the employee onboarding experience. This role is responsible for managing the end-to-end onboarding process, ensuring that new hires are effectively integrated into the organization. The ideal candidate will have hands-on experience in onboarding operations, strong communication skills, and a passion for delivering a smooth and engaging employee experience.

Key Responsibilities

  • Manage the full onboarding process including pre-boarding communications, documentation, orientation scheduling, and follow-up.

  • Act as the primary point of contact for new hires, ensuring a positive experience from offer acceptance through onboarding completion.

  • Coordinate with IT, payroll, administration, and line managers to ensure all onboarding requirements are fulfilled on time.

  • Conduct or facilitate orientation sessions to introduce company policies, culture, and organizational structure.

  • Maintain accurate employee records in the HRIS and ensure compliance with internal policies and labor laws.

  • Develop and maintain onboarding templates, welcome materials, and checklists to standardize processes.

  • Collect and analyze feedback from new hires to identify areas of improvement in the onboarding journey.

  • Work closely with talent acquisition, HRBPs, and department heads to ensure role-specific onboarding needs are addressed.

  • Participate in continuous improvement initiatives related to employee experience, integration, and retention.

Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field

  • 3–5 years of experience in onboarding, HR operations, or employee experience roles

  • Proficiency with HRIS platforms (e.g., SAP, Oracle, Workday) and Microsoft Office tools

  • Strong interpersonal, communication, and coordination skills

  • Proven ability to manage multiple onboarding cases simultaneously

  • Solid understanding of labor law and HR compliance (UAE/GCC experience is a plus)

  • A proactive, employee-centric mindset with a high level of professionalism and discretion
