The Mid-Level Bid / Proposal Specialist is responsible for managing the bid preparation process from opportunity identification through to final submission. The role involves gathering and organizing proposal inputs, ensuring document compliance, collaborating with multiple departments, and presenting compelling, tailored responses to client requirements.
Analyze client requirements from RFPs, RFQs, and ITTs to develop comprehensive bid response plans
Coordinate and compile proposal content from internal teams (technical, commercial, legal, and sales)
Write and edit sections of proposals, ensuring clarity, accuracy, and alignment with client expectations
Ensure proposals comply with submission requirements, brand guidelines, and internal review processes
Prepare pricing summaries, administrative forms, and supporting documentation
Track and manage multiple concurrent submissions, ensuring all deadlines are met
Maintain a library of proposal templates, pre-written content, and completed submissions
Liaise with clients on clarifications, amendments, and post-submission requirements
Proposal planning and execution

Bachelor’s degree in Business, Marketing, Communications, or a related field
3–5 years of experience in bid/proposal preparation, tender coordination, or business development support
Strong command of written English and professional document formatting
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, and CRM tools
Familiarity with procurement and bidding processes across public and private sectors
Excellent organizational, multitasking, and project management skills
Ability to work collaboratively under tight deadlines with attention to detail
