The Junior Bid / Proposal Specialist supports the end-to-end bid process by gathering inputs, organizing proposal content, ensuring submission compliance, and maintaining documentation. This role involves working closely with sales, technical, and administrative teams to deliver accurate and timely responses to client requests and tender opportunities.
Assist in identifying and tracking bid opportunities across portals and client communications
Support the preparation and formatting of proposals, pre-qualification documents (PQs), and RFIs
Ensure documents are completed accurately, formatted professionally, and submitted on time
Coordinate with internal departments (sales, technical, legal, finance) to gather required content
Maintain proposal templates, document libraries, and historical records of past submissions
Prepare basic commercial and administrative sections under supervision
Track submission deadlines and manage bid calendars
Support post-bid follow-up activities, including clarification submissions and client communication
Proposal formatting and administrative coordination
Deadline tracking and compliance assurance
Internal team coordination for content gathering
Document organization and template use
Support in creating visually clear and persuasive proposals
Bachelor’s degree in Business, English, Marketing, or a related field
0–2 years of experience in proposals, tendering, sales support, or documentation
Strong written English and attention to detail
Proficiency in Microsoft Word, Excel, PowerPoint; basic PDF editing tools
Ability to work under pressure and meet deadlines
Excellent organization and coordination skills
Willingness to learn bid standards, formats, and industry-specific proposal practices
